Privacy Policy

Overview

Kiki is a Slack app operated by ARTranslation Technologies (OPC) Pvt. Ltd. ("Kiki," "we," "us"). This policy explains what data Kiki processes when it translates messages in your Slack workspace, who we share it with, how long we keep it, and how you can have it deleted. We've tried to write it in plain language rather than dense legal boilerplate; if anything is unclear, email us at the address in the Contact section.

What we process

To translate a message, Kiki needs to read it. Specifically, we process:

• Message text that Kiki is asked to translate, whether automatically in a connected channel, through a flag-reaction request, through "Translate for me," or through the "Hey Kiki" assistant.
• Workspace and channel metadata needed to route translations correctly: workspace ID, channel ID, user ID, and your configured language settings, glossary, and acronym list.
• Account and billing information for paid plans: the workspace admin's email, plan tier, and payment status. Card and bank details are handled entirely by our payment processors (Razorpay and, where used, PayPal); we never see or store full card numbers.

We do not read messages in channels Kiki has not been added to, and we do not process direct messages unless a user explicitly invokes a Kiki command inside one.

Sub-processors

Producing a translation requires sending message text to a language model provider. We currently use the following sub-processors, each bound by its own data-handling terms:

• Groq: primary translation and language-detection inference.
• OpenAI: fallback translation for edge cases the primary model can't handle well.
• DeepInfra: additional model hosting used for load balancing and redundancy.
• Our hosting provider: runs the Kiki application and database.
• Razorpay / PayPal: process subscription payments for paid plans.

We periodically review this list as our infrastructure changes. Enterprise customers can request a current sub-processor list and a Data Processing Addendum (DPA) by contacting us.

How long we keep it

To avoid re-translating identical text and to keep the app fast, Kiki keeps a short-lived cache of message text, detected language, and the resulting translation. Cached entries and related logs are retained for up to 60 days, after which they are automatically purged. Billing records are kept for as long as required by Indian tax and accounting law, typically several years, independent of translation cache retention.

Deleting your data

Uninstalling Kiki from your workspace immediately removes your workspace configuration (channel settings, glossary, language preferences) and revokes Kiki's access token. If you'd also like previously cached message text and logs deleted before the normal 60-day window expires, email [email protected] from an address associated with your workspace and we'll confirm deletion within 30 days.

We don't sell your data

We do not sell, rent, or trade workspace data, message content, or personal information to third parties for advertising or any other purpose. Data is shared only with the sub-processors listed above, and only as needed to operate the service.

Security

Access tokens and stored data are encrypted in transit (TLS) and access to production systems is restricted to the engineers who operate Kiki. No method of transmission or storage is perfectly secure, but we take reasonable, industry-standard measures to protect your information.

Children's privacy

Kiki is a business tool intended for use by organizations on Slack. It is not directed at children, and we do not knowingly collect personal information from anyone under 16.

Changes to this policy

We may update this policy as Kiki's features or sub-processors change. Material changes will be reflected by updating the "Last updated" date above; for significant changes we'll also notify workspace admins by email.
